Prepare fields with AI

Instead of placing every field by hand, an AI can read the document and suggest fields. You decide which suggestions you take over.

Where to find it

Templates → Form templates → template Edit → Fields → top right AI → Prepare fields with AI

Tip

You only see the AI section if your administrators have switched on the AI features and stored a key for the AI service. If the section is missing, AI is not set up for your organization. Contact your administrators (see Switch on AI features).

AI is not set up on our test environment, so this page shows no picture.

1. First upload the reference document and create the roles. Until then, Prepare fields with AI cannot be clicked.
2. Click Prepare fields with AI.
3. Choose Every field the AI finds or Only what I describe. In the second case, describe under Your description which fields you want.
4. If you have several roles, choose the right ones under Roles the AI may assign fields to.
5. Click Analyse.
6. Under Proposed fields, tick what you want (Select all / Select none) and take over the selection.
7. Check the fields in the document and click Save at the top.

Good to know

• The AI only makes suggestions. The template only changes when you take them over and save.
• After taking them over, you can undo this with “Undo AI changes”.
• Take existing fields into account makes sure the AI does not suggest fields that already exist a second time.
• Below the form it says which data is sent to the AI service (images of the pages or only the text).
• If actaSIGN reports “AI is not set up for your tenant”, your administrators have not set it up yet.
